1. Who We Are

Mental Health Conference Zambia (MHC Zambia) is an annual gathering of mental health professionals, researchers, and advocates, held each year in Lusaka, Zambia. The conference is organized in partnership with the Ministry of Health, Zambia, and a network of organizations working in the mental health sector. This policy explains how we collect, use, and protect information gathered through this website and registration app (“the App”).

2. Information We Collect

We collect the following information in the course of running the conference:

  • Registration details — name, email address, phone number, organization, profession, country, and any dietary or accessibility needs you share with us
  • Account information — when you sign up or sign in (including via Google), we receive your name, email address, and profile information from our authentication provider
  • Payment information — processed directly by our payment partners; we retain a record that a payment was made and its status, not your card or mobile money details
  • Check-in records — attendance confirmation at the conference venue

3. Why We Collect It

We use this information to:

  • Process your registration and payment, and issue your conference ticket
  • Communicate with you — confirmations, reminders, schedule updates, and other messages relevant to the conference
  • Verify your identity and registration status at check-in
  • Coordinate with partnering organizations that share our values, ethics, and a formal agreement with the conference — for example, sharing relevant attendee or programme information with the Ministry of Health, Zambia, or a co-organizing partner, strictly for conference-related purposes
  • Promote the conference and share public health messaging in line with guidance from the Ministry of Health, Zambia, and the World Health Organization (WHO)

4. Who We Share Information With

We do not sell your information. We share information only: with service providers who help us run the App (authentication, hosting, payment processing, and email delivery, acting under our instructions); with partnering mental health organizations and the Ministry of Health, Zambia, where there is a shared agreement covering how that information may be used; and where required by Zambian law.

5. How Long We Keep It

Because MHC Zambia runs annually, we retain registration records to support this and future editions of the conference, and for reasonable record-keeping purposes. You can ask us to delete your information at any time, subject to records we are required to keep for legal or financial reasons.

6. Your Rights

You can ask us to access, correct, or delete the information we hold about you, or ask us questions about this policy, by contacting info@mhczambia.net.

7. Changes to This Policy

We may update this policy from time to time, for example as the conference grows or partners change. We will update the “Last updated” date above when we do.
